Abstract

The availability of drugs plays a key role in ensuring the quality of pharmaceutical services. At Grha Kumala Main Clinic, the weekly procurement system risks causing stockouts if not supported by good inventory planning and control. This has the potential to lead to lost sales, decreased revenue, and disruption of patient therapy. This descriptive-analytical research with a retrospective approach aims to identify the type and quantity of drugs that experience stockout, the frequency and duration of vacancies, potential financial losses, and to develop inventory control recommendations. Data was collected from stock reports, stock cards, sales data, and stockout records for the September–October 2025 period for 26 drug items that met the inclusion criteria. The results showed that the total duration of stockout reached 509 days, with 66 patients (44%) not receiving complete drug services. Physical sales loss reached 9,217 units, mainly from Furosemide 40 mg and ISDN 5 mg. The potential gross loss is estimated at IDR 30,351,790, while the net profit loss reaches IDR 7,587,950 for two months. This study recommends the implementation of optimal safety stock and reorder points, supported by forecasting based on historical data, daily stock monitoring, and early warning systems to reduce stockout events and minimize financial losses in the future.
